Automation reports are now live

Recently, we launched a new feature that allows users to quantify their efforts through automations. Automations have proven to be a game changer for community builders, especially for larger communities where manual reachouts become practically impossible.

But even when you’re saving hours of your work by automating workflows in seconds, there needs to be a way that shows if your efforts are flowing in the right direction. There should be a way to break down data to the most granular level and make observations that eventually become critical to making decisions. Drawing insights and studying data should be easier so that you can leverage automation to target the right members with the right actions.

From the feedback we got from fellow community managers and through experiments of our own, we developed an inside-out analysis that gives you performance reports of each active automation down to every block.

How to work with Automation reports

Navigate to the Automations dashboard -

  • If you have active automations, on the main dashboard itself, you will see a new column added which gives you the number of people who Entered the workflow.
  • If you haven’t activated an automation yet, you will be able to see values in the Entered column only after you do so.

Now, when you edit a workflow, it first opens in View mode. This is where you will also see data points specific to each block in the workflow. Choose from the drop-down to filter data in a given date range.

All you have to do is click on each data point to view a detailed list of all members who reached that block. Each block displays its own set of relevant data points. For example - the trigger block will show you a list of all member who matched the condition and then Entered the workflow. All those who moved to the next block will be represented with an Exited status.

The Send a DM block will show whether members received the message or not along with when they received it. You can choose to filter by date and status.

Similarly, if you’ve setup a survey block in the workflow, not only will you be able to see which members responded to the workflow but also what answer did they respond with. This makes it easier for you to comprehend what your community’s leanings are towards. Use the results to curate strategies that are tailor-made to fit what majority of your members are looking for.

Setting up a simple survey to understand new members and what their expectations are from the community, can give you insights to use more automations designed specifically to target members based on responses. For instance - if a member wants to see more ‘Curated resources’ from your community, perhaps tag them accordingly and use that as a filter to send them resources and publications in the future. Or even better, ask them to contribute resources and give them a sense of belonging that cannot be manufactured but only nurtured.

Improve how you make decisions

Even the split block can significantly improve how you narrow down members cohorts in your community. Not just that, you figure out user patterns and behavior simply based on how they navigated through a workflow. If your condition splits members who have posted more than, say, 10 messages in the community, you can clearly account for members who are highly engaged in the community and those who are not.

Delve further down to individual-level data and observe how some of the top members of your community are responding to your nudges. On the flip side, you can do the same for inactive users and draw patterns that are leading to disinterest in the community.

The long-term implications of using Automation reports are plenty. You can in fact measure the ROI of your initiatives too. With complete transparency, get an intricate understanding of what worked, what didn’t, and double down on things that did.
